About the position

  • Monitor procurement processes to ensure all activities comply with organisational policies, regulatory frameworks, and ethical standards.
  • Provide advice and support to internal stakeholders on procurement processes and best practice to ensure alignment with organisational requirements and goals.
  • Identify potential procurement risks and non-compliance issues and implement corrective actions or escalate as necessary.
  • Perform daily procurement administrative tasks including contract record maintenance, purchase order reviews, and procurement system data entry.
  • Assist with the collation and maintenance of procurement reports, dashboards, and registers for internal monitoring and external reporting.
  • Support procurement audit activities through the preparation of audit evidence, tracking of compliance actions, and record-keeping. • Actively manage the preparation, registration, and administration of contracts and procurement-related documents.
  • Monitor contract expiry dates and support renewal, variation, or closeout activities under the direction of the Team Leader Procurement.
  • Help maintain internal procurement and contract management platforms with accurate and up-to-date information.
  • Assist with the publishing of procurement advertising on Council’s website and external platforms as required.
  • Contribute to the development of procurement templates, checklists, and standard documents.
  • Provide general administrative support to procurement activities including minute-taking at evaluation meetings and assisting with tender box management in the Tenderlink platform.
  • Respond to internal customer queries regarding procurement processes, purchase orders, and contract requirements.
  • Maintain confidentiality and ensure sensitive procurement information is handled appropriately.
  • Perform other duties commensurate with this level as directed by the Team Leader Procurement.

Who we are looking for

The successful candidate will demonstrate:

  1. Proven ability to review and assess procurement documentation, and analyse procurement processes to ensure they meet specified technical, financial, and compliance requirements
  2. Demonstrated experience in providing administrative support in procurement, contracts, or similar business functions.
  3. Strong organisational skills with attention to detail and accuracy.
  4. Proven ability to effectively communicate and negotiate outcomes with staff, contractors, customers and stakeholders at various levels.
  5. Experience in data analysis and interpretation.
  6. Competence in the use of Microsoft Office applications (particularly Word, Excel) and procurement/contract management system
