Executive Assistant – Mayor

About the position

  • Receive, review, prioritise and respond to incoming correspondence for the Mayor and Councillors and delegate invitations on their behalf.
  • Schedule and coordinate appointments, diary and travel arrangements for the Mayor and Councillors to ensure effective representation at meetings, conferences and community events.
  • Coordinate and act as a key point of contact for the management of customer service requests referred by the Mayor/Councillors and for the Office of the CEO.
  • Support the Executive Assistant to the CEO with meeting processes including assisting in the preparation of agendas and meeting papers, recording of and maintaining and following up action registers.
  • Maintain the Register of Delegations for the Mayor.
  • Ensure that Councillors are supported to keep Registers of Interest current.
  • Ensure the correct notification to Councillors of all Council meetings.
  • Assist the Leadership Team to manage the annual calendar of councillor information sessions.
  • In consultation with the Events & Assets Officer coordinate receptions, corporate functions, and other miscellaneous events, ensuring community participation when appropriate.
  • Support the Mayor in attendance at meetings and civic functions as required.
  • In consultation with the communications team, coordinate the Mayor’s communication arrangements, including media releases, public statements and digital communications.
  • Develop and maintain productive relationships with internal and external stakeholders, including state and federal government bodies, local businesses, and community organisations to advance TRC’s priorities.
  • Conduct research and compile accurate information and assessments and recommendations in relation to complex and sensitive matters as directed by the CEO.
  • Assist the Executive Manager Economic Development with the development and of TRC’s advocacy priorities.

Who we are looking for

  1. Extensive experience in providing executive level administrative assistance, conducting research and providing recommendations regarding complex and sensitive matters.
  2. Demonstrated ability to act with tact and discretion when managing highly confidential, sensitive or political matters.
  3. Demonstrated ability to prioritise workload, manage deadlines, work independently and exercise sound judgment in making decisions regarding sensitive matters.
  4. Excellent office administration and computer skills including extensive experience with Microsoft Office suite
  5. Ability to establish and maintain effective relationships and communications with the general public, employees and external stakeholders
